DonatePrivacy Policy — Polson Police Foundation
Last updated: 09/15/2026
Polson Police Foundation (“PPF,” “we,” “us,” or “our”) operates polsonpolicefoundation.com (the “Site”). This Privacy Policy explains what we collect, why we collect it, how we use and share it, and the choices you have.
If you have questions, contact [email protected] or (406) 475-5250.
1) What we collect
Information you provide: name, email, phone, mailing address, donation amount, order details, and any messages you send via forms or email. Our class-interest survey also collects your selected class topics, scheduling preferences, and any optional contact details or comments you submit.
Payment info: Donations and store payments are processed through Square. We don’t store full card numbers on our servers.
Automatically collected: IP address, device/browser, pages viewed, and similar diagnostic data (via cookies or analytics, if enabled).
From third parties: We may receive limited info from donation platforms, email providers, or analytics tools to operate the Site.
2) How we use information
- Operate, secure, and improve the Site.
- Respond to inquiries and send updates you request (e.g., newsletters, event info); use survey responses to help plan community classes.
- Process and acknowledge donations, provide donation receipts, and fulfill store orders.
- Maintain records required for nonprofit operations, accounting, and compliance.
- Detect, prevent, and address technical or security issues.
3) Legal bases (EEA/UK visitors)
Where GDPR applies, we rely on: consent (for optional cookies/analytics and email marketing), legitimate interests (site security/metrics), contract (when you request a service), and legal obligations (records, compliance).
4) Sharing
We share data only as needed with trusted service providers (e.g., payment processors, email/CRM, hosting, security/analytics) under contracts that restrict their use of your data. We do not sell personal information.
5) Cookies & tracking
We use essential cookies for core functionality and (only if you opt in) analytics cookies to understand Site usage. Manage preferences anytime via the “Manage Cookies” link in the footer or our banner.
Do Not Track (DNT): browsers may send DNT signals; standards are inconsistent. We honor your explicit cookie choices set via our banner/preferences, and otherwise do not respond to DNT signals.
6) Data retention
We keep personal data only as long as necessary for the purposes above, including legal/accounting requirements (e.g., donation records).
7) Your choices & rights
- Opt-out of non-essential cookies/analytics via the banner or footer link.
- Email preferences: unsubscribe links are in every non-transactional email.
- Access/Correct/Delete: email [email protected] and we’ll handle reasonable requests, subject to legal retention duties (e.g., donation records).
Note for residents of certain jurisdictions: Some state privacy laws (e.g., Montana CDPA, California CPRA) generally exempt nonprofits. Even so, we voluntarily provide the controls above.
8) Children’s privacy
Our Site isn’t directed to children under 13, and we don’t knowingly collect their personal data. If you believe a child provided data, contact us and we’ll delete it.
9) Security
We use reasonable administrative, technical, and physical safeguards appropriate to the data we process. No system is 100% secure.
10) International transfers
If you access the Site from outside the U.S., your information may be processed in the U.S. We apply the protections described here.
11) Changes
We may update this Policy. We’ll post the new date at the top and, if material, provide a more prominent notice.
